Meeting Services

We offer two types of meeting coverage services: on-site and off-site.

ON-SITE SERVICE
Our on-site service provides a medical writer/reporter who will attend the conference. We make every effort to contract medical writers in the geographic area of the meeting. If no local writers are available, we will arrange for writers to travel to the meeting. Our writers can prepare session summaries, manuscripts, or conduct interviews.

We charge a per diem for each writer, including 1 travel day before, and 1 travel day after the meeting. Please contact us for rate information. We charge actual expenses for associated costs such as airline fares, hotel accommodations (usually at the hotel where the conference is held), and transportation fees.

We can arrange for a photographer or videographer to capture images as needed during the conferences.

Transcription of the sessions greatly reduces writing time and improves accuracy of the manuscripts or reports. We charge $45/hour for technical medical transcription. Transcription usually takes 3-4 times the speaking time.

Our standard turnaround time for the written materials is 30 days after conclusion of the conference.

OFF-SITE SERVICE
In our off-site method of meeting coverage, no writer attends the conference. We purchase audio tapes of all available sessions directly from the company producing these tapes (approximately $15-$35 per tape), and arrange for any other sessions or discussions to be taped at a similar fee by individuals attending the sessions. This method eliminates thousands of dollars of expense associated with personal attendance by a medical writer and can be very cost effective. Telephone interviews, if necessary, can be conducted at the convenience of the interviewee at the standard medical writing fee. A local photographer can be contracted to take the desired meeting coverage photos, as in the on-site service method. Transcription, medical writing costs, and turnaround time are the same as for the on-site service method
